Accounts Assistant, Cardiff

Eco2 Management Services Ltd (EMSL) is looking for a new Full Time Accounts Assistant!

The role sits within the core Finance team and helps to ensure the smooth running of the day-to-day financial record keeping. Working closely with a team of project accountants, internal operational Asset Management teams and reporting to the Finance Manager, this role is responsible for timely and accurate update of financial ledgers.

Our expectation is that new team members will need to be in the office for up to 80% of their week in the early days of their employment to receive training and guidance to ensure they get off to a great start. We will discuss opportunities to work from home more frequently once the training period is complete.

Key Responsibilities:

Accounts Assistant:
  • Maintain purchase ledgers of several companies
  • Post purchase invoices using the online approval/purchase order system, ensuring allocation to correct purchase order
  • Reconcile supplier statements to the purchase ledger
  • Set up new supplier accounts and carry out bank detail verification call backs
Bank reconciliations for several companies:
  • Correctly record bank transactions
  • Reconcile the bank accounts periodically
Prepare payment runs for several companies:
  • Collate PDF copies of invoices showing the required approval trail
  • Send the payment listing and approval evidence to project accountant for review
  • Ensure correct posting and allocation of payments on accounting software
  • Upload payments on to banking software to settle the invoice list provided by (assistant) project accountants
Other Ad hoc duties:
  • Deal with supplier and customer queries
  • Ensure appropriate filling of financial records
  • Ad hoc support to other team members
  • Work within a system of financial controls and to report on any control issues

Who You Are:

We are keen to offer this role to someone who is wanting to develop themselves and continue learning. These are the skills and experiences that we will be looking for during the application process:

You will:

  • Ideally have some prior experience in an accounting or finance role.
  • Have some business administration experience in an environment where there were SLAs, deadlines or processing times and a high volume of work.
  • Ideally you will have some proficiency in accounting software (we use Sage) but we are prepared to train you up if this is your first finance role. If you can show us you’re capable of picking up new software and following processes, that will be a great start.
  • Have experience Microsoft Office Suite, including Excel.
  • Possess a strong degree of self-organisation and an ability to prioritise tasks appropriately.
  • Be a confident communicator, who builds productive working relationships with your colleagues and suppliers via email, phone and face to face.
  • Work with a high attention to detail
